Please review our policies carefully. These terms outline how we deliver a smooth, beautiful, and stress-free experience for every couple.
Guest Count
Maximum guest count for the inside chapel is 6, based on the package description.
Package Substitutions
Our packages are meticulously curated to offer the most competitive and affordable pricing. To maintain the integrity of the bundled services, we do not allow the removal of items to reduce the package cost. Credits will not be provided if clients opt to substitute service elements such as officiants, photographers, flowers, etc. For a detailed breakdown of the package elements, kindly refer to the invoice provided, outlining the specific inclusions associated with your chosen package.
Booking
This reservation is not guaranteed until EIA receives your signed agreement and deposit.
Pricing and Payment
All packages under $1,500 or booked within 30 days of the event must be paid in full at time of reservation. All packages over $1,500 or outside of 30 days must make a 50% deposit. All payments are non-refundable. Please note all balances must be paid in full 30 days prior to the ceremony date. An applicable service surcharge of 10% will be added to all packages and services. The surcharge includes tips, gratuities, coordination & supervision fees, clean-up/set-up costs, credit card & bank fees, etc.
Outside Vendors
We do not allow outside vendors such as officiants, ministers, photography or videography.
Refreshments
Cake can be purchased through our services, but we do not allow any outside food or vendors. Alcohol is strictly prohibited unless purchased directly from us.
Venue Rental
Clients have the option to rent the venue and supply their own vendors at a rate of $500 per hour, with a two-hour minimum. Please note that a wedding coordinator is required when renting the venue.
Animals
We allow certain animals approved by management. Dogs must be on a leash and supervised by someone other than the couple.
Officiant
EIA will provide a professional and experienced officiant to perform your ceremony. They will sign your document and return it to you. You must return it to the county clerk where you purchased it.
Guest Photos
Guests may take photos with cell phones from their seats. No professional photography equipment is allowed.
Photography Services
If a client's package includes Professional Photography, the following applies:
- Digital Photos: All photos are provided in digital format, similar in style and quality to those shown on the EIA website.
- Basic Editing: Photos will be adjusted for color and exposure. Additional retouching is available at $250/hour, with a two-hour minimum.
- Creative Control:EIA photographers use their artistic judgment, and photos may differ from previous work. Photos are not refundable or subject to aesthetic rejections, and some may not be shared at the photographer's discretion.
- Permissions: EIA has the right to use event photos for any purpose. Client consents to digital alterations and waives rights to review or approve final products. Images of all guests, including minors, may be used in print or online.
- Liability Release: Client releases EIA from liability related to photo alterations, including blurring or distortion.
- Weather Limitations: Outdoor photography may not be available in bad weather.
- Photo Delivery: Photos will be accessible for download on Shootproof.com (or similar) within 14 days. Photos will be available for 1 year; reload requests after this period incur a $175 fee.
- Purchasing Options: Clients can download a specific number of photos from their package and may purchase additional photos at $4 each.
- Photo Use Rights: Clients have general rights to use photos as they choose without additional consent from EIA.
Floral Services
If Client elects to have floral services, EIA will use commercially reasonable efforts to create arrangements based on photos provided by Client; provided, however, that EIA reserves the right to substitute different flowers based on market availability and pricing. If Client requests flowers deemed exotic by EIA, additional charges may apply. Client may not use an outside florist unless approved in advance by EIA. Please note that Client's fees will not be discounted if Client uses an outside florist.
Wedding Planning
The EIA planning department will handle all the logistics and vendors for Client. This service includes text and email conversations.
Refunds, Cancellation, Event Delays, Rescheduling
- All funds are non-refundable.
- EIA does not issue refunds, only credit to a Client's account for use on another date.
- All money paid in advance to EIA will be credited to a Client's account if proper cancellation notice is given (30 days or more).
- Client may reschedule up to one year from the date of the cancellation based on COL availability.
- Late arrivals: A late fee of $150.00 per 1/2 hour will be assessed if the client is late. Your wedding will be started at the time listed on your timeline from planning. Photos will not be released until the late fee is paid.
- Rescheduling:Client may reschedule the Event. Rescheduled Events will be determined in EIA's sole discretion.
- Client acknowledges and agrees that pricing may increase for rescheduled Events, and further agrees to pay any such increased fees upon re-contracting for services.
Cancellation
Cancellations require written notice 1 week in advance in order to receive a credit for future use for up to 1 year from your original elopement date. Emails are an acceptable form of notification. All fees paid in advance to EIA will be forfeited and no reschedule is available upon cancellation if proper 30 days' notice has not been given.
Government Cancellation of Event
If an event is cancelled due to governmental requirements, either by local, state or federal mandates, that specifically restricts EIA's ability to materially provide services due to impossibilities, Client may reschedule without penalty and without 30-day notice to EIA and all money other than deposits are credited to the Client's account. Cancellation must be due to a mandate that affects EIA and Client locally and not due to outside factors that do not directly relate to an official mandate. This includes but is not limited to: travel restrictions, accommodations, guests not attending due to choice. If Austin is not affected by a shutdown mandate, this clause will not apply.
Pandemic
Due to the unprecedented circumstances of the Pandemic COVID-19, EIA reserves the right to make any changes to scheduled wedding times or wedding count due to impossibility. The Client agrees that EIA will not be held liable for cancellations due to COVID-19. Should the scheduled wedding time occur during these unprecedented times, Client assumes the risk of infection and EIA is hereby not responsible for Client or their guests contracting COVID-19.
Force Majeure
EIA will not be liable or responsible to Client, nor be deemed to have defaulted or breached this Agreement, for any failure or delay in fulfilling or performing any term of this Agreement when and to the extent such failure or delay is caused by or results from acts or circumstances beyond the reasonable control of EIA including, without limitation, acts of God, pandemic, epidemic, or quarantine, flood, fire, earthquake, explosion, governmental actions, war, invasion or hostilities (whether war is declared or not), terrorist threats or acts, riot, or other civil unrest, national emergency, revolution, insurrection, lock-outs, strikes or other labor disputes (whether or not relating to either party's workforce), or restraints or delays affecting carriers or inability or delay in obtaining supplies of adequate or suitable materials, or telecommunication breakdown or power outage (“Force Majeure Event”). Client's sole remedy for an Event cancelled due to a Force Majeure Event is to reschedule such Event.
I, the undersigned client, signing for both parties named above, hereby warrant that I am competent to contract in my own name and the name of the party above. I confirm that I have read the herein agreement prior to its execution, including the refund and rescheduling policy and fully agree to be bound as defined in the agreement. This agreement shall be binding upon me, the named party above and my heirs, legal representatives and assigns.
